Simplifying Compliance: The Spring Cleaning App for BAT Canada

As part of one of BAT Canada’s internal initiatives, we developed the "Spring Cleaning" app to make it easier and more engaging for everyone to stay compliant. Designed as a game, the app brings all the company's policies together in one convenient place, leveraging our current software and technologies. This way, keeping up with compliance is straightforward, fun, and hassle-free for all employees.

Project Constraints and Challenges

Designing the "Spring Cleaning" app came with its own set of challenges:

  1. Limitations of Microsoft Power Apps:

    To make the most of our existing resources, we chose to develop the app using the Microsoft Power Apps portal. One of the major hurdles was working within the constraints of the available UI kit, which limited some of the design features and functionality we envisioned.

  2. Time Zone Differences with the Development Team:

    This project was a collaborative effort with BAT Nigeria. Coordinating across different time zones posed a significant challenge, requiring us to maintain agile communication and collaboration despite the time difference.

Wireframing Approach

Given the tight timeline for this project, we opted for an expedited wireframing process. After presenting a few low-fidelity screens to the stakeholders and securing their approval, we decided to proceed directly to high-fidelity wireframes. This approach allowed us to quickly move forward with the design and development phases, ensuring we met our project deadlines.

Integrating Email and SharePoint for Seamless Navigation

I also created an email template and set up a SharePoint site to enhance the user journey. Now, instead of searching through individual policies and guides on SharePoint, employees can easily access them by searching for "spring cleaning" in their inbox. This integration ensures that all necessary resources are conveniently at their fingertips, streamlining compliance and policy access across the organization.

Refining the 'Spring Cleaning' App Experience

Following the initial MVP development, I conducted a user test involving 25 employees from diverse functions. The test focused on evaluating clarity of instructions, visual appeal, technical functionality, and the practicality of information provided.

“It is not that obvious to find which item to click on, but that's a simple game so at the end, it is easy to figure it out.”

“Some UI elements to click on are not easy to click sometimes and you have to click multiple times before it asks the questions”

Lessons Learned

After going live, we encountered technical issues that I now realize could have been identified earlier. In hindsight, I could have uncovered these problems by asking more detailed technical questions in my questionnaire or by conducting series of moderated user testing sessions.
